Description

Our client, a world class strategic financial services firm, is seeking an experienced Executive Assistant to support the CEO and his team. This position is onsite at their beautiful Midtown, Manhattan office.

Due to the nature of the position, only candidates with 10+ years’ experience supporting a CEO/Founder in an Executive Assistant capacity will be considered.

Job Details

  • Heavy calendar management, including scheduling appointments, confirming meeting details, and managing logistics
  • Develop and maintain strong business and personal relationships across teams and with clients
  • Maintain up-to-date contact information for key clients and constituents
  • Manage the CEO’s inbox, monitoring emails, prioritizing responses, and drafting/sending correspondence on behalf of the CEO, as directed
  • Track projects, priorities, and requests, while ensuring timely completion
  • Arrange travel and entertainment, such as booking flights, accommodations, and event tickets
  • Manage electronic file system and execute regular information audits and reports
  • Prioritize and track CEO’s personal subscriptions, wellness routines, and doctors appointments
  • Collaborate seamlessly with a team of other assistants
  • Salary: $150-200k, based on experience

Skills and Qualifications

  • Bachelor’s degree required
  • 10+ years’ Executive Assistant experience, working directly for a CEO or Founder
  • Must have strong computer skills, including Microsoft Excel and PowerPoint
  • Instinctively collaborative and a quick learner
  • Customer service oriented with extremely polished demeanor
  • Dedicated to detail, with excellent writing, communications, and organizational skills
  • Superior time management, with proven ability to handle competing priorities while managing stakeholder expectations
  • Proven ability to maintain utmost confidentiality regarding sensitive information
  • 24/7 flexibility, including in “off hours” such as nights and weekends
