Gainor Staffing’s client, a high end investment management firm located in Midtown Manhattan, is seeking to immediately bring on a Temp-to-Perm Executive Receptionist/ Administrative Assistant. In this role you will report directly to the Administrative Manager and will be responsible for providing excellent customer service, managing supplies and inventory, greeting and registering guests, screening calls and additional administrative support.

Responsibilities include:

  • Greet and welcoming guests, checking guests in through the registration system
  • Maintain office security by safety and access control procedures
  • Ordering, maintaining, and organizing office supplies and inventory
  • Answer and screen incoming calls
  • Serve as floor administrator for the conference room booking system
  • Provide administrative support as needed, including processing expense reports and light travel requests
  • Order/organize lunches and special events
  • Ensure reception areas, conference rooms, and kitchen are clean, maintained, organized, stocked
  • Mailings for departments, copying, binding, handling mailings
  • Assist with processing expense reports
  • Act as backup to the Administrative team for domestic and international travel requests as needed

Requirements include:

  • Previous administrative experience needed
  • Previous experience working in a customer-facing role
  • Bachelor’s Degree highly preferred
  • High levels of professionalism, discretion, and integrity
  • Excellent written and verbal communication skills
  • High Proficiency in Microsoft Office Suite

Perm salary: $55,000 - $60,000
